What KPIs Should Be Used in a Commercial Cleaning Contract?

Brightr Commercial Cleaning — reviewed by Chris Savage, Managing Director

Last reviewed:

The best KPIs measure cleaning quality, task completion, staffing reliability, response times, health and safety, audit performance and corrective action. A KPI is only useful if it tells the customer something that can lead to action.

What KPIs are for

Cleaning quality is partly observational. KPIs turn “the cleaning doesn't seem very good” into something actionable: which areas failed, how often, what happened and what is being done.

Cleaning audit score

Use structured area inspections against agreed standards. But do not let a 98% headline score hide two serious failures in critical areas. Not every failure has equal importance.

Repeated failures

Recurrence is often more revealing than the headline score. The same toilet, office or compliance-sensitive area failing repeatedly suggests a root cause: frequency, labour, deployment, training, equipment, supervision or specification.

Staffing and hours delivered

Measure scheduled hours, uncovered hours and whether critical service was maintained. Time-and-attendance can show presence, but presence is not quality. If a cleaner is absent, the customer should not become the cover manager.

Response and complaints

Categorise issues by priority and measure ownership, response and resolution. Raw complaint numbers can mislead; recurrence and resolution matter more.

Corrective actions, safety and training

Track overdue corrective actions, relevant health-and-safety measures and whether site-appropriate training is current. Reporting should encourage learning, not suppress incident or near-miss reporting.

Periodic work

Keep a forward programme for carpets, high-level work, internal glass, floor treatments, deep cleans and other periodic tasks so infrequent work is not forgotten.

Different customers need different scorecards

An office, school, medical facility, warehouse and food manufacturer share core measures but have different risks. The KPI system should reflect what failure means to that customer.

Keep it simple

For many contracts, the management conversation can sit under five headings: Quality. Attendance. Responsiveness. Safety. Corrective action. The report supports the conversation; it should not replace it.

Closing

At Brightr, KPIs are not there to prove we are doing a good job. They are there to show whether we are doing a good job. Accountability only means something if performance can be seen.
